stocktake. ("the app", "we", "us") is a business stocktaking tool used by retail and fuel-forecourt teams to count inventory. This policy explains what information the app handles, why, and your choices. We designed stocktake. to collect the minimum needed to do its job. We do not sell your data, and we do not use it for advertising or cross-app tracking.
stocktake. is provided to businesses ("your organisation") under their account. Your organisation is the controller of the stock and operational data created in the app; we process it on their behalf to operate the service.
| Category | Examples | Why |
|---|---|---|
| Account & contact | Email address, display name, role, assigned store | Sign-in, access control, sending invitations |
| Stock & count data | Scanned barcodes, quantities, notes, session records | The core stocktaking function |
| Unknown-item photos | Optional photo you attach to an item not in the master list | So a manager can identify and add the item later |
| Diagnostics | App version, basic error/activity logs | Reliability and support |
We do not collect location, contacts, health, financial account numbers, or advertising identifiers. We do not track you across other apps or websites.
The app asks for camera access only to scan product barcodes and (optionally) to photograph an unknown item. The camera is never used in the background. Barcode scanning happens on your device; a photo is only stored if you choose to attach one to an unknown-item record.
Data is transmitted over encrypted HTTPS only. Accounts and authentication are managed by Supabase; application data is stored on our hosting provider, Netlify. Access is scoped per organisation ("tenant isolation") so one organisation cannot see another's data. Invitation emails are delivered by a transactional email provider.
| Provider | Purpose |
|---|---|
| Supabase | Authentication & identity |
| Netlify | Application hosting, serverless functions & data storage |
| Transactional email provider | Sending invitation & password-reset emails |
| Stripe (billing accounts only) | Subscription billing for paying organisations |
Account and stocktake records are kept for as long as your organisation's account is active, or as required for the organisation's business records. When you delete your account (Settings → Account → Delete account), your sign-in identity is permanently removed. Operational records you created (for example finalised counts) may be retained by your organisation as business records.
You can delete your account at any time from Settings → Account → Delete account inside the app, which permanently removes your login. For access, correction, or export of data held by your organisation, contact your organisation's administrator, or email us at the address below and we will route your request appropriately.
stocktake. is a workplace tool and is not directed to children under 13.
